  1. The Panhandle-Plains Historical Museum (PPHM) is available for use by outside groups. Events are booked on a first-come, first-served basis. All fees and building use guidelines will apply.

  2. Requests for use will need to be made at least 3 weeks in advance.

  3. No food or drink is to be taken out of the designated area.

  4. For after hours use of the museum, the museum will supply a guard staff, one custodian, and a museum representative. All events must end by 11:00 p.m.

  5. Catering in the museum is limited to ARAMARK Food Service, which is under contract to the West Texas A&M University. All alcoholic beverages will be the responsibility of the group using the museum facility, and all TABC rules will apply. Questions regarding TABC should be directed to that agency. ARAMARK Food Service cannot serve alcohol.

  6. There is ABSOLUTELY NO SMOKING inside the building. This is in compliance with University and State regulations.

  7. Decorations must be approved in advance. In order to preserve our artifacts, certain items cannot be brought into the museum without treatment to guard against infestation. These would include organic material such as plants, hay bales, etc. Decorations may not include candles or other combustible materials. For an approved supplier list, please consult museum staff.

  8. All decorations, props, banners or platforms to be used for functions, including table decorations, must be approved by PPHM. Removal of all decorations, props, banners, or platforms after the event must be within two (2) working days. Candles, helium, marbles, roller skates, confetti, rice, decals, stickers, permanent tape and other similar matter are strictly prohibited inside the facilities. However, birdseed may be used outside of the building.

  9. In the event of cancellation, written notification is required thirty (30) days in advance of the rental date to receive partial (50%) refund of the security deposit and any paid rental fees. Cancellation after that date will result in forfeiture of the security deposit. Any paid rental fees will be refunded upon written request to the PPHM.

  10. No museum property (chairs, benches, tables, etc.) may be moved or used without written approval of PPHM at least two weeks prior to the rental date.

  11. PPHM personnel are present only to provide protection for the building and its contents. The sole responsibility of maintenance personnel is the maintenance of the building. PPHM and security personnel are not allowed to carry equipment or other items for lessee as related to facility use for an event.

  12. The lessee must furnish PPHM with a certificate of insurance evidencing the party's general liability insurance with a minimum coverage of $500,000 combined single limit, with a rider for liquor legal liability, if applicable, with an insurance company acceptable to PPHM, and showing the Society and West Texas A&M University named as additional insured.

  13. The lessee releases Panhandle-Plains Historical Society and West Texas A&M University from all liability associated with loss, personal injury, or death related to the use of the museum.

  14. Individuals or organizations renting facilities at the museum agree to assume all responsibility and liability for damages done to the building or its contents by themselves, their members, guests, or organizations employed by them to facilitate their event.

  15. All rates are subject to change without notice.

  16. By signing the “Building Use Form”, the lessee agrees to the conditions stated above.

  17. Additional per person fee will be charged for access to special exhibits with separate admission fee.
